Coach account information

• Name, email address, phone number, and business details for coaches using ORCA to run their coaching operations

Client & student information (entered by coaches)

• Parent/guardian name, email address, and phone number
• Student's name and age
• Lesson schedules, attendance, and progress notes recorded by the coach

Payment information

• Billing details and subscription history for coaches who subscribe to ORCA's Pro or Premium plans
• Note: full card numbers are processed and stored by our third-party payment processor, Stripe, not directly by ORCA

Google account data (if you connect Google Calendar)

• With your explicit permission, ORCA may access your Google Calendar to schedule, view, or sync swim lessons
• We only request the minimum access needed to provide this functionality
• We do not use Google user data for any purpose other than the specific feature you have enabled, and we do not use this data to train AI or machine learning models

2. How We Use Information

We use the information above to:

• Operate and improve the ORCA platform
• Allow coaches to schedule and manage their lessons
• Allow coaches to send progress updates to parents/guardians about their child's lessons
• Process payments for lessons booked through a coach's ORCA account
• Sync lesson schedules to a coach's connected Google Calendar, if enabled
• Communicate with coaches about their account or our services

3. How We Share Information

We do not sell personal information. We share information only with:

• Service providers who help us operate ORCA (such as hosting and payment processing)
• Google APIs (Calendar), strictly to perform the actions you have authorised
• Authorities, if required by law

4. Children's Information

ORCA is used by independent coaches to manage their own students' swim lessons. Student information (name, age, lesson progress) is entered into ORCA by the coach or provided by a parent/guardian to their coach — not collected directly from children by ORCA. We do not knowingly allow children to create their own ORCA accounts.

5. Data Storage & Security

We store data on secure servers and use reasonable technical and organisational measures to protect it from unauthorised access, disclosure, or loss.

6. Your Choices

You may:

• Request access to, correction of, or deletion of your personal information
• Disconnect your Google Calendar integration at any time via the Settings tab in ORCA or through your Google Account permissions page
• Contact us with any privacy questions or requests

7. Google User Data

Our use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements.

8. Changes to This Policy

We may update this Privacy Policy from time to time. We will update the "Last updated" date above when changes are made.
